If you are an Executive Assistant (m/w/d) working for an international investment firm or professional services / consultancy firm , and wish to join a fast-paced, high-impact team supporting busy investment professionals with complex organisational tasks, this could be for you!

You must LOVE managing busy calendars and organising & protecting the time of this busy team, making proactive decisions and forward planning. The diaries are back-to-back, with changing priorities and they need a first-class Executive Assistant to keep their deal flow and projects on track. You will be relied upon heavily to ensure seamless support, and often finding solutions to seemingly impossible logistical needs, so this needs to be something you thrive in!

The deals that this team are managing involve some of the most cutting edge industry developments, and you will have communication with external stakeholders across the portfolio companies, investment banks, advisory firms, lawyers and many internal teams.

Main Duties

As an Executive Assistant, you'll be entrusted with high-level responsibility. The role supports a Senior Investment Director, a VP and an Associate.

• High level calendar management & inbox management
• Coordinating complex international and domestic travel itineraries across time zones
• Preparing accurate expense reports
• Creation of reports and presentations, when needed
• Gatekeeping and directing calls
• Managing priorities in line with deal flow and business needs
• Managing communication across global departments
• Special projects & support with event planning
• Partnering across business support teams globally to ensure cohesion and efficient processes
• Providing seamless coverage and backup support to fellow EAs

What We’re Looking For:

• Proven history of supporting busy teams in investment firms, investment banking or global consultancies
• Impeccable priority management & decision-making skills
• Exceptional written and verbal communication in German (fluent) & English (advanced)
• Proficient with Microsoft applications
• A commitment to outstanding customer service for internal and external stakeholders
• A collaborative mindset and a passion for continuous improvement
• Team player and helpful to colleagues at all levels
